Estimates and quotes: common questions

What is the difference between an estimate and an invoice?

An estimate (or quote) tells the customer what the work will probably cost before you start. An invoice asks for payment after you deliver. Many businesses send an estimate first and turn it into an invoice once the customer agrees.

What should an estimate include?

Your business name and contact details, the customer, an estimate number and date, a clear list of the work or products with quantities and prices, sales tax if it applies, the total, and how long the prices are valid.

Is an estimate the same as a quote?

The words are often used the same way. Some businesses use “quote” for a fixed price and “estimate” for an approximate one. Say clearly on the document which one you mean.

How long should an estimate be valid?

Thirty days is common, but choose what fits your costs. If material prices change often, use a shorter period and write the “valid until” date on the estimate.
